Why Would an AV Company Hire Someone Else to Produce a Video?

Advanced Staging Productions recently decided to have a new company video produced to be used in our sales and marketing efforts.  The decision was made to hire a long time partner of ours to assist us with this project.  Someone that could develop the concept, write the script, shoot and edit the footage to create a final product.  During this process, we were asked why a technology driven company with a warehouse full of video equipment and a professional staff would choose to pay someone else for a service like this.

The simple answer is, “That’s not what we do.” At the base of all that we do at Advanced, is the underling philosophy that we don’t want to be good at a lot of things… we want to be GREAT at a few things. So what do we strive to be great at?  Providing audio, video, and lighting solutions for live events and meetings. We have spent the better part of three decades working on mastering these services. While we have been working on what we do best, there are a number of other people that have been perfecting the art of producing and editing videos. These people are professionals, and get paid to do what they do, because they are great at it… and that is something that we respect and look for in our partners.

This speaks to more than just us wanting a new marketing video.  In all the events we work on, we are very upfront and clear with our clients about what we do and don’t do.  We do not pretend to be experts in areas that we are not.  We are who we are, and we are very proud of that!

The AV Technology Behind The Most Amazing Corporate Events

You want to create an amazing corporate event, one that attendees talk about long after it’s over. Maybe you’ve seen and admired other new-event-ideassuccessful events — a televised awards show, for example — but you’re wondering how to create a similar “wow” effect for your own event.

The secret is the AV technology behind the scenes. Lighting design, audio technology and video engineering all play important roles in creating an amazing event for your audience. With some basic knowledge, you’ll be able to decide how best to put this technology to work at your next big event.

Setting The Scene

Before you select your lighting design and audio/video (AV) technology, consider the venue and the mood you want to create. Both of these factors help to set the scene for your event.

  • Mood — Do you want to create a calm environment or an energetic one? Consider, for example, the difference between a dynamic concert and a serene outdoor dinner party. Both use lighting design and AV technology to set very different moods.
  • Venue — Are you holding your event outdoors or inside? At night or during the day? Is it a large space or a small one? Do you want audience participation or interaction, either with a guest speaker or each other? The answers to these questions impact your lighting design, video systems and other AV technology choices. 

After you’ve decided on the tone of your event and reviewed the specifics of your venue, it’s time to consider how to use lighting design, audio design and AV technology to support your vision.

Lighting Design

Good lighting design ensures the things you want the audience to see are visible, while the rest remains hidden. Lighting makes your guest speakers stand out from the background and focuses the audience’s attention on the presenter rather than any distractions on or offstage. In the case of an evening event, good lighting ensures your attendees are able to see well enough to get to where they need to be while not distracting from the action on stage.

Lighting also establishes the mood for your event. You can accomplish varying effects with light simply by altering its placement (above, below, to the side), type (fluorescent, incandescent, LED), intensity (bright or dim), color (cool or warm) and focus (strobe or diffused). Layering several different types of lighting creates complementary effects — for example, you can highlight your guest speaker while also providing diffused light for the audience to follow along in their programs.

Incorporating movement into your lighting design — whether literally moving light across a surface or using light figuratively to represent the passage of time — impacts the overall tone of your event and keeps the audience engaged.

Audio Technology

For any event to be successful, you need the best possible audio technology — which lets the audience hear what they need to instead of being distracted by static, annoyed by interference or startled by unexpected noises. Your audio design should enhance the event, not overpower it.

When determining your audio needs, consider if someone is giving a speech, whether you plan to incorporate background music and if you plan to record or broadcast the event. At a minimum, your audio technology should include microphones (handheld and/or lapel, preferably wireless to avoid tripping hazards) and strategic placement of sound speakers so your audience can hear the presentation or the music no matter where they are seated, without interference from background noise such as the hum of electrical generators.

Also consider the type and volume of background music you’re planning to use — for example, you may want to have soft background music at a dinner event but use louder, energetic music to introduce motivational speakers at a corporate sales meeting.

Video Systems

Video systems can be as simple as an LCD flat panel used to display graphics or as complex as a ceiling-high interactive video wall. Again, the mood and venue of your event play a large part in determining the components of your video system. For example, do you plan to show inspirational video clips to encourage donations from the audience? Does your guest speaker require a teleprompter to assist with his speech? These require different video components.

If you’re recording the event — or if you’re broadcasting live or streaming video online — plan to have cameras placed at various angles so viewers who aren’t onsite don’t miss an important incident, such as the introduction of a guest speaker or the audience’s reaction to a stirring presentation.
